Privacy Policy

1. Who we are

WorkShadchan (workshadchan.com) is a free job-matching office for the frum community, run by YSLG Development (“we”, “us”). We are responsible for the personal information described here (in UK and EU terms, we are the “controller”). You can reach us at office@workshadchan.com.

2. What we collect

From people looking for work

• Account details: name, email, password (stored only in scrambled form), and optionally your phone number and whether we may contact you on WhatsApp.
• Questionnaire answers: the kind of work you want, schedule, location and time zone, pay, experience, skills, languages, work environment, and people or companies you never want to be matched with.
• The interview: the full conversation with our AI interviewer, and the profile written from it.
• Optional details for the office only (see section 3), and references if you give them.
• An optional intro video, if you choose to record one.

From employers

• Your name, email and role, your organisation's name and type, and a reference we can check.
• Details of each role: duties, pay, schedule, location, requirements, and the interview about it.

From everyone

• Messages you send the office, and a record of each step in a match (who approved what, and when).
• Technical and security information: IP address, browser type, sign-in times, and a log of important account actions. We use this to keep accounts safe and stop abuse.

3. Religion and other sensitive details

Because WorkShadchan serves the frum community, having an account here says something about your religious life. Some laws, including UK and EU data-protection law, treat religion as especially sensitive. We only use it with your explicit consent, which you give with a separate checkbox when you sign up.

The questionnaire also asks some optional questions: gender, age range, marital status and kehilla. You can skip any of them. If you answer, the answers are seen only by people in our office. They help the office make sensible introductions where an employer has a genuine, lawful reason. They are never sent to the AI, never used in automatic scoring, and never shown to the other side.

You can withdraw your consent at any time by emailing office@workshadchan.com. Without it we can't keep matching you, so we will close your account and delete your data as described in section 9.

4. How we use it

• To run your interview and write your profile or job description.
• To find possible matches and help our office review them.
• To make introductions once both sides agree, and to email you about your account and matches.
• To keep the service secure, prevent abuse, and meet legal obligations.

We rely on your consent (for the sensitive information in section 3), on running the service you asked for, and on our legitimate interest in keeping it safe. We don't use your data for advertising and we don't sell or rent it to anyone.

5. How the AI is used

We use an AI model (Claude, made by Anthropic) to interview you, write a profile from the interview, and suggest and score possible matches with a short explanation. The AI only sees your questionnaire answers, your interview and your profile, never the optional office-only details or your video.

The AI does not make final decisions. It suggests matches, and a person in our office decides whether to go ahead. No introduction happens without a person approving it and both sides agreeing. If you think a decision about you was wrong, email us and a person will look at it again.

AI can get things wrong. Please read the profile it writes and tell us, or correct it, if anything is off.

6. Who sees what

• Our office sees your full profile, answers and interview, so it can review matches.
• Employers first see an anonymous summary of a suggested candidate, with no name or contact details.
• Candidates are then told which organisation is interested and can say yes or no.
• Only when both sides agree do we email each side the other's name and contact details.
• Office-only details and intro videos are never shown to the other side.

We may also share information if the law requires it, or to protect someone's safety.

7. Service providers

A few companies help us run the service. They may only use your data to provide their service to us:

• Anthropic (USA): the AI model. Under its commercial terms, it may not use your data to train its models.
• Resend (USA): sends and receives our email.
• Cloudflare (USA and worldwide): website security, the “are you human” check on our forms, and private file storage for videos and backups.
• Hetzner (Germany): our servers, located in Finland.

8. Where your data is kept

Our database is on servers in Finland, inside the EU. Some providers above process data in the USA. Where UK or EU law applies, these transfers are covered by the providers' data-processing terms, which include the safeguards those laws require.

9. How long we keep it

• Your account and profile: while your account is open. Close it any time by emailing us, and we delete your data within 30 days.
• Intro video: you can delete it yourself at any time. Otherwise we delete it automatically 12 months after you are placed or pause your search.
• Backups: deleted data can stay in our private backups for up to 12 months before they expire.
• Security records: kept as long as needed to protect the service and meet legal obligations.

10. Your rights

Wherever you live, you can ask us to:

• show you the information we hold about you, or send you a copy;
• correct anything that is wrong;
• delete your account and data;
• stop using your information for a particular purpose, or withdraw your consent;
• have a person review any decision about you.

Email office@workshadchan.com from the address on your account. We reply within 30 days. If you are in the UK or EU and are unhappy with our answer, you can complain to your data-protection authority (in the UK, the Information Commissioner's Office). In Israel, you have the right to review and correct your information under the Privacy Protection Law.

11. Security

Everything travels over encrypted connections. Passwords are stored only in scrambled form. Access to the office is limited to the people who run it, and important account actions are logged. Our servers are locked down and backed up every night. No system is perfectly secure, but we take care to protect what you share with us.

12. Cookies

We only use cookies that are needed for the site to work: one to keep you signed in, and Cloudflare's security check, which stops bots from abusing our forms. We don't use advertising or analytics cookies, so there is nothing to opt out of.

13. Adults only

WorkShadchan is for people aged 18 and over. We don't knowingly collect information from anyone younger. If you think we have, email us and we will delete it.

14. Changes and contact

If we change this policy in a way that matters, we will email you before the change takes effect. The date at the top shows when it last changed. Questions? Email office@workshadchan.com. See also our Terms.
